Accepts payroll from Sage (Excel), A3 (XML), any CSV or a scanned PDF with OCR. Generates the 640/465 and 642/476 entries automatically and feeds Modelo 111 and 190 without you touching a single box.
You import one payroll PDF and everything else falls into place: the 640/465 and 642/476 entries get generated, and withholdings get filed in the quarter's Modelo 111 and the year's Modelo 190. Nothing typed twice.
In · 1 PDF payslip
Out · 2 journal entries
Out · 2 tax forms
Four entry points into the cascade. Doesn't matter if it's a Sage Excel, an A3 XML, a CSV or a scanned PDF — you don't need to ask your accounting firm for anything extra.
Upload the payroll Excel exported from Sage. Cofactu reads the base pay, withholdings, employer and employee Social Security columns automatically.
If your accounting firm uses A3, the payroll XML file imports directly. Modelo 111 and 190 boxes get calculated instantly.
Any program that exports CSV with the right mapping works. Cofactu documents the expected format right on the import screen.
If all you have is the payslip PDF (no source file), Cofactu extracts the data with OCR. An AI model identifies the fields even when the PDF layout differs.
The payroll comes in once. Cofactu generates the 640/465 and 642/476 entries and feeds the 111 and the 190 — without re-entering withholdings or SS contributions by hand.

OCR Haiku/ClaudeGenerates the salary payslip as a PDF compliant with the Spanish Ministerial Order of 27/12/1994. Includes every item, withholding and the contribution breakdown.

FAQ
The essentials on how Cofactu imports, books and files your payroll.
It only imports and books it. Cofactu is not a payroll/HR management tool and doesn't calculate Social Security contributions or IRPF withholdings — your accounting firm does that with A3, Sage, Nominaplus or another tool. What Cofactu solves is the next step: importing that payroll, generating the correct journal entries and feeding the tax forms without you typing anything by hand.
It works with most standard payslip formats used in Spain. If the PDF has a very unusual layout or is a scanned image, extraction may need manual review on some fields. The preview shows you exactly what the OCR extracted before you confirm the import.
Journal entries require accounting to be enabled for your organization. If you only use Cofactu for invoicing, importing payroll records the payslip and feeds Modelo 111 and 190, but without journal entries. Enable accounting and entries get generated automatically across every flow, payroll included.
For small businesses with 1 to 20 employees that receive payslips from their accounting firm and want to book and file them without re-entering everything by hand. And for accounting firms that prepare their clients' payroll and want the client to record it in Cofactu with zero transcription errors. It's not built for HR departments managing complex payroll with many line items.
Upload the Excel, the XML or the PDF. Cofactu generates the entries and feeds Modelo 111 and 190 without you touching a single box.
