Calendar, packages and till for your salon in a single program with VeriFactu

The appointment turns into a charge, the charge into a compliant ticket, and the client into a regular with points, packages and gift cards. No appointment app + till + spreadsheet: one system.

Compliant with RD 1007/2023 (VeriFactu) · Data hosted in the EU · No lock-in

A hair salon or beauty center needs three tools that almost always live apart: an appointment calendar, a till (POS), and something for loyalty — packages, points, gift cards. Cofactu brings them together in a single program that also complies with VeriFactu (RD 1007/2023): every ticket is issued with a signed record, chained hash and QR verifiable at the AEAT, mandatory from January 2027 for companies and July 2027 for the self-employed.

The salon's natural flow is wired in: the appointment in the calendar carries its service and assigned professional, and once it's done you charge in one tap — the appointment's service moves to the ticket with no retyping, the product sale (the shampoo the client takes home) is added, and the matching points or package are applied.

Recurring revenue, which is where a salon's business really lives, stops depending on memory: a points program with VIP tiers, packages and monthly memberships with recurring billing, gift cards with a QR code to give treatments as a present, and email campaigns to clients who haven't been in for too long.

The problem

What makes invoicing complicated in hair & beauty salons

Three systems that don't talk to each other

The calendar in one app, the till in another, packages on a stamped card and clients in a notebook. Every change gets logged twice, packages get lost, and nobody knows how much each professional actually billed this month.

Calendar gaps nobody fills

The client who used to come every 5 weeks hasn't shown up in 10 and nobody noticed. Without a system that detects the inactivity and triggers the campaign ("we miss you, -15% this week"), the gaps stay empty.

The 10-session package, on a cardboard card

Cards stamped with a pen: they get faked, they get lost, nobody knows how many sessions are left or how much prepaid money is committed. And from an accounting standpoint, that prepayment exists even if the card never shows up.

The old-school till no longer complies

Under VeriFactu, every ticket — even a €14 haircut — must be generated from a system with signed, chained records. The classic cash register or the card reader with a printer no longer cut it, with fines of up to €50,000 a year.

The solution

What Cofactu solves for hair & beauty salons

Real functionality, live in the product today — not on a roadmap. All included in the plan, no paid add-on modules.

Appointment calendar connected to the till

Appointments by professional and service, with status (pending, confirmed, completed) and a direct path to checkout: the appointment's service lands on the ticket with no retyping. Cancelled or no-show appointments are logged.

Touch POS with native VeriFactu

Charge services and products on the same ticket, by cash or card. Every charge generates a signed invoicing record with an AEAT verification QR — compliance runs underneath, you just take the payment.

Packages and memberships with recurring billing

The 10-session package lives on the client's profile: each use deducts a session and the remaining balance is visible instantly. Monthly memberships (weekly blow-dry, eyebrows every 15 days) bill on a recurring basis and flag failed charges.

Points with VIP tiers

Every euro spent earns points, and top-tier clients (gold, VIP) earn faster. Points are redeemed at the till as a discount — recurring business rewarded automatically and measurably.

Gift cards with QR

Sell gift cards of any amount with a QR code redeemable at the till: whoever gives the gift pays today, whoever enjoys it comes in (and usually spends more than the balance). The live balance stays under accounting control.

Email campaigns to inactive clients

Segment by last visit, spend or services ("color clients who haven't come in 8+ weeks") and send the discount campaign from Cofactu. Winning back a lost client costs less than acquiring a new one.

How it works

An afternoon at the salon with Cofactu

From booked appointment to compliant ticket — with recurring business running by itself underneath.

  1. 1

The appointment goes into the calendar

Marta books a cut + color for Thursday at 5pm with her regular professional. The calendar shows the day by professional, with the gaps in plain sight.

  2. 2

Service done, charge in one tap

When it's finished, the appointment moves to checkout: cut + color from the booked service, plus the shampoo she takes home. She pays by card and the ticket comes out with its VeriFactu QR. Her points accrue in the same operation.

  3. 3

    The package deducts itself

The next client comes in with a 10-session radiofrequency package: the charge deducts session 7 and shows 3 remaining. No cardboard card, no arguing, with the prepayment properly accounted for.

  4. 4

Recurring business doesn't depend on memory

The system detects that 23 clients haven't been in for more than 8 weeks and sends them a campaign with a 7-day -15% offer. The end-of-day close shows sales by professional, service and product — and the real margin.

Real example

Salon ticket: service + product + points redemption

This is how the tax details of a typical operation in the sector look in Cofactu. Every record carries a chained SHA-256 hash, digital signature, and AEAT verification QR code.

FAQ

Frequently asked questions

Is a hair salon with €15 tickets also required to comply with VeriFactu?
Yes. The amount doesn't matter: every ticket issued from a computer system must generate its signed, chained invoicing record (RD 1007/2023). It applies from January 2027 for companies and July 2027 for the self-employed, with fines of up to €50,000 a year for using non-compliant software.
Can clients book appointments online?
Cofactu's calendar today manages appointments taken from the salon (phone, WhatsApp, front desk) with a per-professional view and a direct path to checkout. Self-service online booking by the client is on the roadmap — if that's a must-have for you, get in touch and we'll give you a real timeline.
How are packages handled for accounting purposes?
A package paid upfront is a prepayment: Cofactu records the charge when it's sold and deducts sessions as they're used, with the remaining balance always visible. That way the committed prepaid money is never a surprise, for you or for your accountant.
I have two salons — can I see how much each one and each professional bills?
Yes. Each salon runs its own till and its own Z-close, and the reports show sales by location, by professional and by type (service vs. product). Ticket numbering and the VeriFactu chain stay correct per organization.
What happens if a client pays half with a gift card and half with a bank card?
The ticket supports split payment: the gift card balance is redeemed and the rest goes on card or cash, all within the same VeriFactu record. The gift card's remaining balance is updated instantly.
Do the email campaigns comply with GDPR?
Campaigns are sent only to clients with a registered email, and every send includes an unsubscribe link with immediate effect (signed opt-out). Data lives on EU servers and is never shared with third parties for advertising.
