Invoicing software for construction has to answer a question no generalist software answers: is this project making or losing me money, today? The flow starts where the business starts: the quote. You build it with line items and prices from your catalog, send it to the client for online acceptance, and once won it becomes an invoice (or partial invoices as work progresses) without rewriting anything. Invoices come out VeriFactu-compliant, with the correct VAT rate — including the 10% rate for home renovations that meet the requirements of art. 91 LIVA.

And project expenses stop riding around in the van's glovebox: snap a photo of the delivery note or the hardware store receipt, OCR extracts the supplier, base amount and VAT, and the expense gets assigned to its project. The quarterly Modelo 303 fills itself in.

You quoted the renovation at €24,000 and between material overruns, extra hours and the tiler who raised his rate, the real margin evaporated. Without assigning every expense to its project as it happens, the overrun only surfaces at close — when you can no longer fix anything.

Quotes in Excel, invoices somewhere else

The quote is built in an Excel template, acceptance arrives over WhatsApp, and the invoice is drafted by hand in a different program. Three disconnected systems mean line items billed twice, others forgotten, and zero traceability if the client disputes anything.

Lost receipts and delivery notes = undeducted VAT

Every hardware store receipt or material delivery note that gets lost is input VAT you don't deduct and an expense you don't record. At a 21% VAT rate, a glovebox full of unrecorded receipts adds up to hundreds of euros per quarter.

    Demolition, plumbing, electrical work, tiling, painting — each line item priced from your catalog. The client receives the quote by email and accepts it online; acceptance is recorded with a timestamp.

    Open project = open job

    Once accepted, the project opens as a job. The invoice for the first milestone (40% at start) comes directly from the quote, VeriFactu-compliant and with the correct VAT rate.

    Expenses assigned as they happen

    Every material purchase, every subcontractor and every hardware store receipt is photographed and assigned to the project. The project view shows accumulated cost against the quote: if the plumbing line item overruns, you see it that same week.

    Final settlement with real margin

    Final invoice for the remaining 20%, and the project closes with its own P&L: billed, spent, margin. The quarter's figures are already in the Modelo 303 and 130, ready to file.

Frequently asked questions

Can I invoice a project by percentage of completion?
Yes. From the accepted quote you can issue partial invoices by milestone (for example 40/40/20), each one VeriFactu-compliant with its own numbering and chained hash. The quote keeps track of what's invoiced and what's outstanding, avoiding duplicated or forgotten line items.
How do I know if a renovation is taxed at 10% or 21% VAT?
The 10% rate applies to renovation and repair work on individuals' homes when the property has been in use for more than 2 years and the materials you supply don't exceed 40% of the taxable base (art. 91.Uno.2.10º LIVA). New construction for a developer or a business client follows different rules. In Cofactu you choose the rate per invoice line, and the breakdown carries through correctly to the VeriFactu record — if in doubt about your specific case, confirm it with your accountant.
Does Cofactu issue invoices with reverse charge (subcontractors)?
Not yet in a dedicated way: the reverse-charge scenario under art. 84.Uno.2º.f LIVA (construction work between contractor and subcontractor) is on the roadmap. If your day-to-day involves reverse-charge certifications between contractors, reach out before signing up — we'd rather tell you straight than sell you something that doesn't do it yet.
Are van, per diem and tool expenses also assigned to a project?
Yes. Any recorded expense — via photo and OCR or typed in — can be assigned to a project. General expenses (insurance, self-employed contributions) can be left unassigned and go only into the overall account. That way per-project profitability reflects real direct costs.
I'm a self-employed tradesperson — does VeriFactu affect me?
Yes: starting July 2027, every self-employed person who invoices using software must use a system compliant with RD 1007/2023 (companies, starting January 2027). Invoices made in Word or Excel on a computer fall within the scope of the regulation, and penalties reach €50,000 per year.
Can I give my accountant access?
Yes. Your accounting firm can log in with its own user, view invoices, expenses and projects, and file your returns (303, 130, 111…) directly from Cofactu. No more sending boxes of receipts in July.
