Migrate from Billin to Cofactu without losing a single invoice

Billin (TeamSystem) has scaled pricing and limited contacts on its Basic plan. If you've outgrown the 5 contacts on the starter plan, or want real VeriFactu with 1-click AEAT filing, bring your data to Cofactu in under 5 minutes via the official API or CSV/Excel export.

No card required · Free plan forever · Migration at no cost

During the migration

Migrate with peace of mind — nothing gets lost along the way

No history lost

Your past invoices keep their original numeroCompleto (e.g. F2025-0142) and issue date. Cofactu's VeriFactu chain starts clean from your first new invoice.

Zero invoicing downtime

Keep invoicing in Billin while you try Cofactu in parallel. When you're ready, cancel Billin — Cofactu keeps your data. No forced cutover.

No lock-in

If you ever want to leave, export ALL your Cofactu data in 1 click (clients, invoices, expenses, PDF + signed XML). We don't lock you in.

Step by step

Two ways to bring in your data

Automatic API sync (the fast option) or uploading your Excel/CSV export. Both cover clients, products, and invoices from Billin.

Recommended

Option A · Billin API

1

Get your Billin API key

~ 30s

Go to Billin → Settings → Integrations → API → Generate token. Requires a Pro or Enterprise plan.

If you're on the Basic plan, the API isn't available — use option B (CSV export) instead. Cofactu only needs read permissions. The key is encrypted with AES-256-GCM on our server and never logged.

2

Paste it into Cofactu Settings → Integrations

~ 1 min

Create your free Cofactu account and paste the API key under Integrations → Billin.

If you don't have an account yet, the signup wizard takes you straight to the integration step after verifying your email.

3

Import with one click

~ 2-3 min

Cofactu brings in your clients, products, and historical invoices as reviewable drafts.

Invoices arrive in draft status — you review them before resubmitting to AEAT. Those that already had a CSV (if you filed via Billin) are imported as accepted and are NOT resubmitted.

Alternative

Option B · Excel/CSV export

1

Export from Billin

~ 1 min

Billin → Invoices → Export → CSV/Excel. Repeat under Contacts → Export.

The export is available on ALL Billin plans, including Basic. There's no limit on the number of invoices you can export (only the 5-contact cap of the plan applies).

2

Upload the files to Cofactu

~ 1 min

Create your free account and go to Invoices → Import → From another program → select Billin.

The parser detects the Billin format automatically. If your export has custom columns, you get an editable preview before committing so you can map them to Cofactu fields.

3

Confirm and go

~ 2 min

Review the preview with N invoices + M clients and hit Import. Done.

Historical invoices keep their original Billin numbering (e.g. F2025-0142) and enter as drafts. Cofactu's VeriFactu hash chain starts clean with your first new invoice.

After migrating

What you get in Cofactu that you didn't have in Billin

Before · Billin
  • Real VeriFactu from day 1
  • No contact caps on cheap plans
  • PSD2 bank connection included
  • AEAT forms filed directly
Now · Cofactu
  • Real VeriFactu from day 1

Cofactu sends records to AEAT with an official CSV every time you issue an invoice. Explained AEAT error catalog, automatic broken-chain detection (4171), 1-click repair. Billin has VeriFactu but without the advanced diagnostic tools.

  • No contact caps on cheap plans

Cofactu's Self-Employed plan (€9/mo) has unlimited contacts. Billin Basic caps at 5 contacts, forcing an upgrade to Pro as soon as you grow — pricing designed to push upgrades.

  • PSD2 bank connection included

40+ Spanish banks via Enable Banking (an EU-regulated AISP). Sync every 6h, auto-reconciliation with invoices, and T-7/T-3 alerts before authorization expires. On Billin, banking is a plan-limited feature.

  • AEAT forms filed directly

Cofactu files 303/111/130/115 + 190/347/349 with AEAT from the app and returns the official CSV. Billin only generates the file — you have to upload it manually to the tax office site.

Clean chain

Your VeriFactu hash chain starts clean with your first new invoice

Invoices you already sent to the AEAT from Billin keep their CSV — we don't touch them. From your first invoice in Cofactu, the SHA-256 hash chain links up whole, signed, and verifiable, with no baggage from the past.

  • Billin history imported and searchable
  • New chain linked and signed from day 1
  • Automatic repair if an invoice breaks the chain (error 4171)
Once you've migrated

File your AEAT tax forms directly from Cofactu

Where Billin makes you download the file and upload it manually to the AEAT portal, Cofactu files it directly. Covers all 7 forms with the official CSV saved in an immutable audit log.

Are my invoices already sent to AEAT from Billin resubmitted?
No. Cofactu detects the ones that already have an AEAT CSV and marks them 'accepted (imported)' — they aren't resubmitted, so there's no duplication. Cofactu's VeriFactu chain starts clean with your first NEW invoice.
Do I lose Billin's change history or audit log?
Billin's internal logs stay in Billin — our importer doesn't extract them. But from the moment of import, Cofactu keeps its own immutable audit log with a hash chain.
Does it work with any Billin plan?
Yes. The API requires a Pro or Enterprise plan; the CSV/Excel export is available on all plans (including Basic). If you only have Basic, go straight to Option B.
What about Billin Basic's 5-contact cap?
The 5-contact cap only applies to creating/editing within Billin. The Excel export pulls ALL your contacts, even if you're over the cap (you may have some from before the limit applied). Cofactu imports them all with no caps.
How long does it take with 500 invoices?
API: 3-5 minutes (paginated sync). CSV: 2 minutes of upload + parse + commit. The preview is shown before commit so you see exactly what will be imported.
Can I also migrate recurring invoices and quotes from Billin?
Yes. Recurring invoices are imported as Cofactu templates. Quotes arrive as quote drafts, not invoices — you convert them with one click once approved.
What happens to my payments and bank reconciliation from Billin?
Marked payments are imported as payments linked to invoices. You redo bank reconciliation in Cofactu by connecting your bank via PSD2 — it only takes 5 minutes per account.
